Why Your SOPs Aren't Working (And What to Do About It)
You wrote the SOPs. You put them in the shared drive. You even told everyone where to find them.
And nobody uses them.

Here's why — and what to do about it.
1. They were written by the wrong person
Most SOPs are written by the person who already knows how to do the task. That person skips steps because they seem obvious. They use jargon because they forget what it's like not to know. They write for themselves, not for the person who'll actually need to follow the process.
The result? A document that makes perfect sense to the author and zero sense to everyone else.
What to do instead: Write SOPs for the person who doesn't know how to do the task. Better yet, have that person write the first draft while the expert watches. The gaps become obvious immediately.
2. They live in the wrong place
A PDF in a shared drive is not a system. It's a filing cabinet that nobody opens.
Your team doesn't go looking for an SOP when they're stuck. They go looking for a person. They message you. They ask a colleague. They figure it out themselves and hope for the best.
The SOP has to be where the work happens. Not in a separate system they have to remember to check. Not behind three clicks and a search. Right there, when they need it, in a format they can actually use.
What to do instead: Put your knowledge base where your team already works. Make it searchable. Make it fast. Make it so easy to find the answer that asking you is the slower option.
3. They've never been tested
Here's a quick test: pick one of your SOPs. Give it to someone who's never done the task before. Ask them to follow it.
Can they? Without asking you a single question?
If the answer is no — and it usually is — then your SOP isn't working. It's a document that describes a process. It's not a system that enables someone to execute it.
What to do instead: Test every SOP with someone who doesn't know the process. If they can't follow it without help, rewrite it. This is uncomfortable. It should be. The discomfort is where the real documentation begins.
4. They're out of date
The client changed their requirements. The software updated. Someone found a better way to do it. But the SOP still says the old thing.
Outdated documentation is worse than no documentation. It trains people to do the wrong thing, and it teaches them not to trust the system. Once that trust is gone, they stop checking.
What to do instead: Your knowledge base needs to be a living document. It gets updated during training. It gets flagged when something changes. It doesn't need to be perfect — it needs to be current enough that your team trusts it.
5. There's no training to back it up
An SOP without training is just a piece of paper. People don't learn by reading. They learn by doing, with someone guiding them, making mistakes, and trying again in a safe environment.
